Working in a team environment, the Grants Administration Coordinator will be a focused and
detail oriented professional with the experience to effectively manage the administrative
components of Genetic Alliance’s grants portfolio, which includes federal grants as well as
private foundation and major donor grants and contracts. This person will develop be responsible
for ensuring proper compliance with all grant reporting requirements from all existing and
prospective revenue sources. Specific tasks/projects will include but are not limited to the
following:

  • Coordinate assembly of grants (federal, foundation, major donor)
  • Oversee sub-contracts process including: delivery of contracts to sub-contractors;
    correspondence with sub-contractors and, if necessary, Genetic Alliance legal counsel;
    filing of signed/executed contract and ensure payment schedule is communicate to
    finance team
  • Review contracts from third party vendors with COO and Program Manager, as
    necessary
  • Maintain all grant documents, files and paperwork
  • Manage grants/contracts calendar
  • Coordinate submission of grant proposals and reports with individual Program Area
    Managers
  • Maintain current staff biosketches, cv’s and other relevant organizational information

To be successful, the Grants Administration Coordinator will understand the granting institutions
with whom GA collaborates, specifically federal granting agencies. S/he will quickly grasp
reporting requirements for grants and be extremely detail oriented. The successful candidate will
possess expertise in information organization; basic budgeting skills; the ability to communicate
appropriately; an understanding of public health issues; skill in quickly understanding a task and
how best to implement it; ability to communicate well with team members; experience with
similar non-profit and mission-oriented organizations; an interest in Genetic Alliance’s core
mission and values. Some experience in writing /reviewing proposals, letters of intent and
reports preferred.

QUALIFICATIONS

Education
Bachelor’s degree preferred, or combination of relevant education, grants management and
outreach experience

Knowledge, Skills and Abilities
Experience and expertise in grants management and contract review. Minimum of 2 to 3 years
experience working with federal grants, foundation or corporate social marketing programs:

  • High level of performance in problem solving, and decision-making and team building
    skills
  • High Proficiency in MS Office including Word, Excel and PowerPoint and project
    management software
  • Proficiency in working with database systems such as FileMaker Pro
  • Superior organization and time management skills, including knowledge of document
    management systems
  • Strong interpersonal and communication skills
  • Ability to access relevant resources and information including superior internet search
    skills
  • Some experience writing and editing and reviewing proposals and reports and working
    with federal document systems
  • Familiarity with Federal grants and contracts websites and proposal submission process
    for both; including Grants.gov, eRA Commons and the Health Resources and Services
    Administration (HRSA) Electronic Handbook (EHB)
